When you receive a new order from your landing page in Scalev, you check incoming orders on the Orders page. It looks like this: [ez-toc]

Anatomy of the Orders Page

To understand the Orders page layout, see the image below along with explanations based on each numbered label.

1. + Add Order

Button to add or create a new order manually without going through the landing page form. Back to table of contents ↑

2. Order Count

The number of orders received within a specific date range. To configure this, see label 17. Back to table of contents ↑ This order search box is for finding a specific order by entering buyer name, buyer phone number, or order ID. Just type the data into the box provided. You don’t have to press Enter on your keyboard after entering the data. Back to table of contents ↑

4. Order List Filter Icon

Click this icon to bring up more comprehensive filter settings for the order list. It looks like this: Back to navigation ↑ Back to table of contents ↑

5. Order List Column Settings Icon

Click this icon to bring up settings for which columns you want displayed in the order list. It looks like this: Back to table of contents ↑

6. Download Order Data Icon

Click this icon to bring up download options for the order data currently shown in the active order list. It looks like this: The downloaded data is a CSV file that can be opened by spreadsheet apps like Microsoft Excel or Google Sheets. Back to table of contents ↑

7. Upload Order Data Icon

Click this icon to bring up upload options for order data. It looks like this: Used to add new orders from another source. Or to update existing order data in the order list. Back to table of contents ↑

8. Pie Chart Icon

Click this icon to hide or show the order summary section. See label 16. It looks like this: Back to table of contents ↑

9. Diagonal Arrow Icon

Click this icon to widen the order list table view so it can show more hidden columns. Back to table of contents ↑

10. Order List Role

Click to set whether the order list shown is for Seller or Fulfillment Provider. Back to table of contents ↑

11. Order List Columns

Order list column headers. The columns shown here are configurable. See label 5. The checkbox on the left is used to check all orders shown in the active order list. Back to table of contents ↑

12. Show New Orders

This section appears when you’re on the orders page and after a moment a new order comes in but hasn’t been displayed yet. Click this section to display the latest order without refreshing the orders page. Back to table of contents ↑

13. Diagonal Arrow Box Icon

Click this icon to display the public order page containing a summary of the order purchased by the buyer. It looks like this: Back to table of contents ↑

14. Order List Table

This is the order list table containing default information with columns like:
  • Order ID
  • Customer
  • Order Status
  • Payment Status
  • Store, etc.
You can change and customize those default columns yourself. See label 5. Back to table of contents ↑

15. Three Dots Icon

Click this icon to bring up quick actions on an order. The menu shown when these three dots are clicked will differ depending on the order status. Back to table of contents ↑

16. Order Summary

This section displays the order summary from the active order list. There are three parts:
  1. Number of orders in the active list
  2. Total order value in rupiah
  3. Average Order Value (AOV)

17. Date Range Filter

Date range setting to display the order list customized based on start and end dates. How to filter:
  • First click on the date you choose to set the start date.
  • Second click on the date you choose to set the end date.
Back to table of contents ↑ By knowing the anatomy of the orders page above, you should be able to manage incoming orders smoothly. What actions can be taken on incoming orders to your store? Before continuing, you need to first understand the status of the orders you receive.

Understanding the Order Status Flow

When your landing page receives an order, its status will be one of these two: Created or Pending. What’s the difference?

Order Status: Created

An incoming order that DOES NOT HAVE any payment method. This order status comes from a form that doesn’t show a payment method (it’s hidden). From a form intentionally built to not require payment, with the goal of data collection (e.g., lead magnet).

Order Status: Pending

An incoming order that HAS a specific payment method. Whether it’s Bank Transfer, QRIS, or another Epayment. Usually the buyer already knows the price of the product they’re going to buy. And already intends to pay. Orders with Pending status need to be followed up by your CS team. So the buyer makes payment soon. The two order statuses above are the ones you’ll receive most often.

Order Status: Confirmed

An order confirmed by Admin/CS that the order has been paid by your store’s buyer.

Order Status: In Process

An order confirmed paid and in the process of preparing the product to be shipped to the buyer.

Order Status: Ready To Ship

An order confirmed paid, in process, with stock available, and packaged ready to be shipped by the courier.

Order Status: Shipped

An order in the process of being shipped by the courier.

Order Status: Completed

An order whose package has been shipped and received by the buyer in good condition without any complaints.

Order Status: Return To Sender (RTS)

An order whose package has been shipped and received by the buyer but, due to some reason (such as refund/exchange for a defective product), the buyer/seller asks for the package to be returned first. All order statuses above can be changed to other statuses based on the conditions below:

Managing Orders From Receipt to Completion

How to Manage Physical Product Orders

If you sell physical products and receive a new order, follow the flow below:
  1. Go to the Orders page
  2. Click an order with Created / Pending status
    • If the order status is Created, edit the order via Admin/Sales Person of your store to add the required order details such as name, full address, phone number, or payment method.
    • If the order status is Pending, follow up with your buyer to make payment soon.
      • If the buyer uses the Bank Transfer payment method, your store needs to enable the Payment Confirmation feature so the buyer can submit a payment confirmation after checkout.
      • If the buyer uses the Epayment payment method (VA/QRIS), the payment status usually changes automatically to Paid after payment. If it doesn’t change automatically, change it manually.
      • If the buyer uses the COD payment method, change the order status to Confirmed.
  3. Change the order status to Confirmed and the payment status to Paid once your buyer is confirmed paid.
  4. After Confirmed, change the order status to Ready To Ship if the stock purchased by your store’s buyer is available and packed.
  5. Change the order status to Shipped when the package has been picked up by the courier and you have received the shipping tracking number.
  6. Change the order status to Completed when the package has been received by the buyer in good condition with no complaints about the product purchased.
  7. Change the order status to RTS if the buyer has received the package but has complaints such as missing package, damaged item, short quantity, wrong package, etc.

How to Manage Digital Product Orders

If you sell digital products and receive a new order, follow the flow below:
  1. Go to the Orders page
  2. Click an order with Created / Pending status
    • If the order status is Created, edit the order via Admin/Sales Person of your store to add the required order details such as name, email address, phone number, or payment method.
    • If the order status is Pending, follow up with your buyer to make payment soon
      • If the buyer uses the Bank Transfer payment method, your store needs to enable the Payment Confirmation feature so the buyer can submit a payment confirmation after checkout.
      • If the buyer uses the Epayment payment method (VA/QRIS), the payment status usually changes automatically to Paid after payment. If it doesn’t change automatically, change it manually.
  3. Change the order status to Confirmed and the payment status to Paid (if it doesn’t change automatically).
  4. After Confirmed, make sure you deliver the digital product to the buyer either via Scalev’s email invoice system or via email from a third-party integration like Mailketing/BirdSend.
  5. Change the order status to Completed once you’re sure you’ve sent access to the digital product you sell and the buyer has also confirmed receiving the product.
Digital products don’t need the order statuses usually present for physical products: Ready To Ship, Shipped, and Return To Sender (RTS). So you can ignore those order statuses if your sales are digital products. NOTE: Point 4: make sure you have configured the product containing access to the digital product to be sent to the buyer. How to Delete an Order

Suppose you’re testing orders or there’s an order no longer needed and you want to clean it up so the Orders page looks clean again. You can delete those “junk orders”. To delete an order, make sure the current order status is Created or Canceled — only then can it be deleted. Other than those two statuses, the order can’t be deleted. How:
  • Click the order you want to delete on the Orders page
  • Go to the order detail
  • On the right side, scroll down and you’ll find a “Delete Order” button
  • Click the Delete Order button
You can also do this directly on the Orders page: check the orders you want to delete, click Bulk Action, the menu appears, then click Delete Order. Back to top ↑
